Culturally Speaking:
    • Never use abbreviations or acronyms in communication and contracts
    • Spell out dates as opposed to using numerals to avoid date-format confusion (4/12/12 is different than 12/4/12!)
    • Detail your RFP as much as you want – TIP: use photographs to define the specifics of what you envision
    • Write your own cut-off dates for booking in your contract
    • Outline deadlines for responses back from a hotel in your contract
    • Expect to pre-pay 100% in advance or have strict deposit guidelines

Leslie Zeck, CMP, CMM oversees a department of three as the Director of Meetings at the International and American Associations for Dental Research. Responsible for planning annual conventions for up to 7,000 attendees, as well as regional conferences in Africa, Asia, Europe and South America, Zeck has more than 20 years of experience in ME&I and has planned everything from Congressional gala dinners to international conventions and meetings.

    • Number flights in/out of destination
    • Keep checking for changes to requirements, up to the date of your meeting
  2. Know your resources
  3. Shipping Logistics
    • Know the USCIB - 75 countries that allow you to ship materials without paying taxes!
    • What materials can you get onsite/inside your destination?
    • Create a detailed LIST – what you’re shipping, when and where. Number the boxes!
  4. Premium Travel
    • Know the amenities you expect, as well as what is being delivered. Make sure they match!
    • “In-between-class”: cost-effective, provides more leg room, comfortable rows before Coach
